Privacy Policy

What we collect

• Account info: your name and email address, and a securely hashed password if you sign up with one (we never store your password itself).
• If you sign in with Google, we receive your name, email, and profile photo from Google. We don’t receive your Google password.
• Team and practice data you create: team names, rosters (coach names and emails), practice plans, drills, and notes.
• Baseball game day: the batting order and each player’s position by inning for each game you plan and, if you log them after the game, each player’s pitch count (used to work out rest days) and innings caught (kept for your records). A player is a first name, a number, and whether you marked them as a pitcher or catcher. All of this is deleted with the team.
• If you connect TeamSnap, we read the teams you belong to and, for the team you choose, each player’s first name and jersey number and whether they said they can make the next game. We don’t copy last names, contact details, parents or staff. The connection is stored encrypted, the game answers are read each time and not kept, and Disconnect deletes the connection.
• Live games: when a coach shares a game’s scorekeeper link, anyone with it can keep score, one phone at a time, and sees the clock, the score and who scored or assisted, by first name. Whoever is keeping score also sees the team’s players by first name and number, to say who scored. The link shows the coach’s lineup and planned substitutions only to a signed-in coach of the team, or staff of its club. We keep the score, the minute of each goal and who scored or assisted, for the team’s own records. The coach can turn the link off at any time.
• Goal alerts: only if a family turns goal alerts on, each goal in a live game is emailed to that parent or guardian, through Resend, our email provider, with who scored or assisted by first name, the score and a view-only link to the game (it cannot keep score), and every email has a link that stops them.
• Parents and guardians a coach invites by email get an account that shows their own child’s team, its next event and the live score of its games (never plans, notes, lineups, playing time or stats), and whether the other families on the team can see their contact details is their choice, off unless they turn it on.
• A child’s profile, if their family fills one in: a photo, a birthday and any allergies. The family keeps it, any grown-up with access to that child can change it, and it belongs to the child rather than to a team, so it is the same on every team they play for. Allergies are shown to everyone who can see that child on a roster, which is the coaches and the other families on the team. That is deliberate, so somebody nearby can act; nothing else in the profile is shown to the other families. Leave it blank and nothing is stored.
• Basic usage data (e.g. when a practice was created) needed to run the app.
• Which pages are visited, counted with Google Analytics on coachworthy.app. Anything after a “?” in an address is removed before a visit is counted, and pages opened through a private link (shared plans, invites, score links) send nothing.

What we don’t collect

Coachworthy accounts are for coaches, not players. We don’t knowingly collect personal information from children, and player rosters in the app are limited to first names and numbers you enter or import for your own planning, not tracked or shared elsewhere.

How it’s used

Your data is used solely to run the app for you and your team: displaying your practices, sharing plans with coaches you invite, and improving the drill library. We don’t sell your data or use it for advertising.

Shared practice links

A coach can share a practice plan as a link, so an assistant or parent helper can open it without an account. Anyone with the link can read that plan. It shows the practice and its drills only: no roster, no player names, no forms, and nothing is counted by analytics. Deleting the practice turns its link off.

Coachworthy in ChatGPT

If you ask ChatGPT for a baseball or soccer practice through the Coachworthy app, ChatGPT sends us only the players’ age or age group, how many players (and for baseball, adults) are coming, how long practice is, where it happens, and for soccer the topic you name, if any. We build the plan from those and don’t store them or link them to anyone: no account, no name, no chat. What you type into ChatGPT is covered by OpenAI’s privacy policy, not this one.

Where it’s stored, and who helps us run it

Data is stored in a managed Postgres database (Neon) and the app is hosted on Vercel, both in the United States (US East). Google provides sign-in with Google and page counts (Google Analytics). If you connect TeamSnap, we read from it as described above. When a coach types into one of the boxes that ask about the team, a practice or a game, Anthropic’s Claude reads that text to suggest themes, drills or a lineup; for a game, the team’s first names and numbers go with it so names can be matched. Anthropic does not train its models on it. We keep what coaches type into those boxes, with every player’s name taken out first, to learn what to improve. We don’t operate our own servers.

Your choices

You can edit or delete your team data at any time from within the app. To delete your account entirely, open Account and choose Delete my account. That removes your sign-in and the data that is only yours, and any team you coach alone. Teams that other coaches are on stay with them, without your name. Questions, or trouble deleting?
